1. Who we are

VisitProof is a UK digital visit records service for domiciliary care agencies. Our contact email is hello@visitproof.co.uk.

2. What data we collect

• Waitlist applicants: name, agency name, work email address, role, agency website, and any short message provided through our sign-up form.
• Pilot agency data: client names, carer names, scheduled visits, and visit records entered by the agency during the pilot period.
• Usage and signup security data: basic server access logs and signup metadata (IP address, browser type, page visited, referrer, and time submitted) for security, spam prevention, and debugging purposes.

3. How we use your data

• To contact you about your pilot application and onboard your agency.
• To understand whether VisitProof is suitable for your agency and what problem you are trying to solve.
• To provide the VisitProof service during your pilot period.
• To maintain the security and performance of our platform.

We do not sell your data. We do not use it for advertising. We do not share it with third parties except where necessary to deliver the service (e.g. our hosting provider).

4. Lawful basis

We process data on the basis of legitimate interests (responding to your enquiry and operating the pilot) and contract (delivering the service to pilot agencies).

5. Data storage and security

All data is stored on UK-based servers. We use industry-standard access controls and encryption in transit. Data does not leave the UK.

6. Retention

Waitlist data: held until we can confirm whether a pilot place is available, or until you request removal. Signup security metadata is reviewed only for abuse prevention and operational troubleshooting. Pilot agency data: held for the duration of the pilot and for 30 days after cancellation, then deleted on request.

7. Your rights

Under UK GDPR you have the right to access, correct, or delete your personal data; to restrict or object to processing; and to data portability. Email hello@visitproof.co.uk to exercise any of these rights.

8. Data Processing Agreement

Pilot agencies can request a Data Processing Agreement (DPA) covering obligations under the Data Protection Act 2018. Email hello@visitproof.co.uk.

9. ICO registration

VisitProof is registered with the Information Commissioner's Office (ICO) under registration reference ZC143167. Registration date: 10 May 2026. Registration expires: 09 May 2027.
